Role Overview
The Project Manager is responsible for overseeing the day-to-day execution of construction projects from pre-construction through closeout, with primary accountability for coordinating consultants and vendors to establish, maintain, and enforce clear master project schedules.
This role serves as the internal hub between ownership, finance, the Head of Interior Design, architects, engineers, consultants, vendors, and the General Contractor to ensure all parties are aligned to a defined schedule, budget, and scope. The Project Manager ensures milestones are met, risks are identified early, financial impacts are clearly communicated, and projects are delivered on time, within budget, and in alignment with design intent.
This position represents ownership in consultant selection, RFP management, financial oversight, invoice review, bid analysis, value engineering, and contract negotiations.
Core Responsibilities
Schedule Management & Consultant Coordination
  • Develop, maintain, and actively manage master project schedules in collaboration with the General Contractor, consultants, and vendors
  • Coordinate architects (AOR), engineers (MEP, structural, FSE), lighting designers, kitchen consultants, millworkers, fabricators, expeditors, and specialty vendors to ensure design deliverables, approvals, fabrication timelines, procurement, and lead times align with construction sequencing
  • Track consultant and vendor milestones and hold all parties accountable to agreed-upon timelines
  • Identify schedule risks, conflicts, or delays early and proactively implement mitigation strategies
  • Ensure long-lead items are identified early, properly scheduled, and released on time
  • Communicate schedule updates clearly to ownership and flag impacts to cost, scope, or opening dates
  • Clearly outline cost and time implications of proposed design changes prior to approval
Financial Oversight & Budget Management
  • Develop and maintain project budgets from feasibility through closeout
  • Work closely with the Finance department to forecast, plan, and coordinate all project-related payments
  • Develop and maintain detailed project cash flow forecasts, including:
    • Material purchases
    • General Contractor fees and pay applications
    • Furniture, Fixtures & Equipment (FF&E) purchases
    • Specialty vendor deposits and milestone payments
  • Align construction and procurement schedules with payment timing to ensure materials and vendors are paid on time without disrupting cash flow
  • Coordinate advance payments for long-lead items and proactively flag upcoming financial commitments
  • Review contractor and consultant invoices against work completed prior to approval
  • Ensure billing aligns with contract values, schedule of values, and percent complete
  • Support Finance with accurate documentation, backup, and approvals needed for timely processing
  • Track budgets and forecast total cost to completion
  • Reconcile all project costs and ensure accurate financial reporting
RFP Process, Bid Management & Consultant Procurement
  • Own the full RFP process for architects (AOR and specialty consultants), General Contractors, engineers (MEP, structural, FSE), and specialty vendors
  • Prepare bid packages and clearly define scopes of work
  • Conduct bid leveling and comparative analysis
  • Present bid comparisons and recommendations to ownership
  • Negotiate contracts and fee structures where appropriate
  • Assist with value engineering across design and construction phases
  • Evaluate change orders for scope validity, pricing fairness, schedule impact, and design implications
  • Provide comparative cost and timeline scenarios when evaluating design or construction alternatives
Construction Administration
  • Coordinate directly with the General Contractor on daily and weekly construction activities
  • Lead or participate in OAC (Owner–Architect–Contractor) meetings, including preparing agendas and issuing meeting notes
  • Review construction progress photos, logs, and site reports
  • Monitor schedules, timelines, and construction logs to ensure milestones are met
  • Track open issues, RFIs, submittals, and action items through resolution
  • Escalate schedule risks, conflicts, scope changes, or budget impacts to leadership promptly
  • Support design intent during construction without taking on design production responsibilities
Permitting & Compliance
  • Manage and track permit applications, approvals, inspections, and close-out documentation
  • Coordinate with expeditors, consultants, and local jurisdictions as required
  • Ensure projects comply with local codes and jurisdictional requirements
Site Monitoring & Documentation
  • Set up and manage site cameras for remote monitoring and documentation
  • Conduct regular site visits to verify progress and quality
  • Maintain organized project records including drawings, permits, contracts, schedules, logs, and correspondence
  • Serve as the internal point of accountability for accurate, up-to-date documentation
Cross-Team Leadership
  • Act as the central liaison between ownership, finance, interior design, culinary, beverage, architects, engineers, consultants, vendors, and the General Contractor
  • Translate internally proposed design changes into clear cost and timeline impacts for ownership decision-making
  • Ensure alignment between design, procurement, construction sequencing, and financial planning
Travel Requirements
This role requires the ability and willingness to travel on a regular basis and for extended periods of time to active project sites across the country.
Current and upcoming projects may include travel to:
  • Palm Beach, FL
  • Houston, TX
  • Newport Beach, CA
  • Additional future markets
Travel will align with active construction phases, key milestones, and on-site coordination needs.

Ideal Background
  • 5–10 years of experience managing restaurant construction projects
  • Proven ability to coordinate multiple consultants and vendors against a single master schedule
  • Strong understanding of construction sequencing, procurement timelines, and General Contractor workflows
  • Experience managing RFP processes and bid analysis
  • Comfortable reviewing financial documentation, schedules, contracts, pay applications, and change orders
  • Demonstrated experience forecasting project cash flow and cost to completion
  • Highly organized, proactive, and calm under pressure
  • Strong communicator capable of presenting cost and schedule implications clearly to ownership
  • Based in Dallas or able to support Dallas projects with regular site presence
